What leaves your Mac, and what never does
Prokoll records, transcribes and writes notes on your Mac. Your meetings never leave it: not the sound, not the transcript, not the notes. This page lists everything Prokoll does send, and where.
Stays on your Mac
- The sound of your meetings
- Transcripts, notes and summaries
- The names of the people in them, and your corrections
- Meeting titles, your searches and your settings
There is no account, and Prokoll sends no usage statistics. After a crash, it offers to send us a report, and sends it only if you click Send. The report contains nothing from your meetings.
Where your meetings are kept
In your user folder on this Mac, encrypted. The key is created on your Mac the first time Prokoll opens and is kept in your login keychain. The recording itself is deleted once it has been transcribed.
We never receive your meetings, so we cannot read them, lose them or restore them. Back up your Mac, as you would for any file you care about.
Everything Prokoll sends
| When | What | To |
|---|---|---|
| Once, when you choose your languages | A request for the files Prokoll needs to work on your Mac. Nothing about you or your meetings. | download.prokoll.com |
| Once a day | A check for a new version of Prokoll, and for the list of licences that have ended. It includes the versions of Prokoll and macOS, and nothing else. | download.prokoll.com, prokoll.com |
| When you activate or move a licence | Your licence key and a code for this Mac. The code is made from the Mac's hardware number together with the licence, so we never learn the hardware number itself. | prokoll.com |
| After a crash, only when you click Send | The versions of Prokoll and macOS, your Mac's model, the error, where in the code Prokoll stopped and when, and anything you choose to write. | prokoll.com, which emails it to us |

Nobody else can read them
Your meetings are encrypted on your Mac, with a key your Mac keeps in its keychain. We never receive them, so nobody at Prokoll can read, lose or pass them on.
Works on a plane, too
Once the first download is done, Prokoll records, transcribes and writes notes with the internet switched off.
